Floors By Nature (WA) Pty Ltd ("we", "us", "our") is committed to protecting your personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

This Privacy Policy applies to all personal information collected through the RightFit™ In-Home Flooring Experience, our landing page, website, and any related consultation or project services. By submitting an enquiry or booking a consultation, you confirm that you have read and understood this Privacy Policy.

We may collect the following categories of personal information:

• Contact details: your name, phone number, and email address
• Project details: information about your home, flooring preferences, subfloor conditions, and scope of works
• Booking and payment details: consultation appointment information and, where applicable, payment records processed via Stripe
• Photography, video, and voice recordings: captured during or in preparation for your in-home consultation (see clause 07)
• Website usage data: IP address, browser type, pages visited, and interaction data collected via cookies and tracking technologies

We collect personal information when you:

• Complete an enquiry or booking form on our landing page or website
• Book or attend a RightFit™ consultation
• Contact us by phone, email, or SMS
• Interact with our website through cookies, tracking pixels, or similar technologies
• Provide photographs or project information prior to your consultation

We collect, use, and store your personal information to:

• Respond to your enquiry and confirm your consultation booking
• Prepare and deliver your ClearPlan™ Flooring Package
• Manage your flooring project and communicate with you throughout
• Process consultation payments and apply credits where applicable
• Comply with our legal and contractual obligations
• Improve our services and support internal training
• Conduct marketing and remarketing activities (see clause 05)

By submitting an enquiry or booking form, you consent to us contacting you via phone, SMS, or email in relation to your enquiry, consultation, or ongoing project.

We may also use your information for targeted remarketing via Google Ads and Meta (Facebook/Instagram). You may opt out of marketing communications at any time by contacting us at consult@floorsbynature.com.au or following the unsubscribe link in any email communication.

We do not sell your personal information. We may share it with trusted third-party service providers engaged to support our business operations, including:

• CRM and communication platforms (e.g. Brevo) for managing enquiries and bookings
• Accounting software (e.g. Xero) for invoicing and financial records
• Payment processing (Stripe) for consultation investment transactions
• Advertising platforms (Google Ads, Meta) for remarketing purposes
• AI-assisted tools used in preparation of your ClearPlan™, including voice transcription and flooring visualisation platforms (see clause 07)
• Third-party installation contractors engaged on your behalf where applicable

These service providers are engaged under contractual arrangements and are not authorised to use your personal information for their own unrelated purposes.

During your RightFit™ consultation, your specialist may capture photographs, video recordings, and voice recordings of relevant areas and discussions. Photographs may also be provided by you prior to the consultation. These materials may be processed using AI-assisted tools, including:

• Voice transcription tools to convert spoken consultation notes into written documentation
• Flooring visualisation tools that apply product imagery to photographs of your home to assist in product selection and presentation

All recordings, transcriptions, and related materials are used for internal purposes including project documentation, product visualisation, and internal training. They may be stored on trusted third-party platforms that process your information solely to deliver their services to us. These service providers are not authorised to use your information for their own unrelated purposes.

Your materials will not be disclosed to any outside party without your prior written consent. By proceeding with a booking, you consent to this form of documentation. If you do not wish to be photographed, filmed, or recorded, please notify your specialist prior to or at the start of the consultation.

Some third-party service providers may store or process your personal information on servers located outside Australia, including in the United States and European Union. By using our services, you consent to this transfer. We take reasonable steps to ensure that overseas recipients handle your information in a manner consistent with the Australian Privacy Principles.

Our website and landing page use cookies and tracking technologies including Google Analytics, Google Tag Manager, Google Ads conversion tracking, and Meta Pixel. These tools collect anonymised data about how visitors interact with our site and allow us to measure the effectiveness of our advertising. You may disable cookies through your browser settings; however, this may affect the functionality of our website.

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access or disclosure. Consultation payment details are processed by Stripe and are not stored on our systems. While we implement appropriate security measures, no method of data transmission or storage is entirely secure.

You may request access to, or correction of, the personal information we hold about you by contacting us using the details in clause 15. We will respond within a reasonable timeframe in accordance with the Privacy Act 1988 (Cth). Where we are unable to provide access, we will provide written reasons.

Where practical, you may interact with us anonymously. However, given the nature of the RightFit™ In-Home Flooring Experience, we will generally require your identity in order to arrange your consultation and deliver your ClearPlan™ Flooring Package.

If you choose not to provide the personal information we request, we may be unable to respond to your enquiry, confirm your booking, or deliver your ClearPlan™ Flooring Package.

If you believe your privacy has been breached, please contact us in writing at consult@floorsbynature.com.au. We will acknowledge your complaint within 5 business days and make reasonable efforts to resolve the matter promptly.

If you are not satisfied with our response, you may refer your complaint to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by calling 1300 363 992.
